Privacy policy

Mrtn is a sales copilot for macOS. It listens to your calls on your Mac, coaches you while you talk and writes the follow-up afterwards. This policy explains what data that involves, where it goes and what you can do about it, in plain language.

Who we are

Mrtn is a service of StarApps BV ("we", "us"), Dok Noord 4D/101, 9000 Gent, Belgium, enterprise number BE 0758.840.403. For anything about your data, write to hello@mrtn.tech.

Our role

Mrtn is used by organisations: a company signs up and invites its people. That splits the responsibility for your data in two:

  • Call data: transcripts, summaries, follow-ups, scorecards, playbooks and the people mentioned in them. Your organisation is the controller and we are its processor: we handle this data only on its instructions, under a data processing agreement. If you were on a call with someone who uses Mrtn, that organisation is the one to ask about your data; we will help them answer, and if you write to us we will pass your request on.
  • Accounts, billing and our website: we are the controller.

What we collect, and why

Your account

Your name, email address, the organisation that invited you and your role in it, and the Macs you are signed in on. We need these to let you sign in and to keep each organisation's data apart. Legal basis: the contract with you or your organisation.

Product updates

Now and then we email what's new in Mrtn to your account's address, or, if you were invited and haven't joined yet, to the address you were invited at. Each one has an unsubscribe link, and your mail app's own Unsubscribe button works too: after that you get no more of them, while sign-in codes and invitations still reach you. We don't track whether you open these emails or which links you click; the links to our site carry the email's name, so our analytics can count the visits it brings. Legal basis: our legitimate interest in telling the people who use Mrtn about it.

Audio

Mrtn records your microphone and your call app's audio on your Mac, and the recordings stay on your Mac. During a call, the audio streams straight from your Mac to our transcription service and is turned into text as it arrives; the transcription service doesn't keep it. After a call, Mrtn can send the recording once more for a second pass that tells the speakers apart: it passes through our servers on its way to transcription without being stored, and the copy at the transcription service is deleted once the pass is done (a daily clean-up removes anything a failure left behind). Our servers never store audio.

Call results

The transcript, summary, action items, follow-up drafts and scorecard of each call, with its title, participants and the kind of call it was. They are stored for you, and shared with your team only when you choose to: after each call, or by a rule you set for that kind of call. Playbooks, your organisation's settings and its usage (call length, transcription and coaching volume, and their cost) are stored as well, to run the service and to count credits. When a shared playbook is changed or stops being shared, its earlier version is kept for 90 days, so a change can be undone, and then deleted.

Coaching

To coach you during a call and to write summaries and follow-ups, Mrtn sends excerpts of the transcript, with the relevant parts of your playbook, to an AI model provider. It processes them to produce an answer and does not use them to train its models.

Calendar and integrations

If you allow it, Mrtn reads your upcoming meetings on your Mac, read-only, to name calls, know who is on them and prepare briefs. If you add integrations, such as your CRM, Mrtn talks to them from your Mac with your permission. What it reads from them for a call can be part of that call's coaching and results.

Google and Microsoft accounts you link

You can link your Google or Microsoft 365 account in Mrtn's Integrations. It is optional, and you choose what you allow on the provider's own consent screen. Mrtn asks for:

  • Your calendar, read-only: the events on your calendars and the list of calendars you can see (Google: calendar.events.readonly,calendar.calendarlist.readonly; Microsoft: Calendars.Read,Calendars.Read.Shared).
  • Sending email as you (Google: gmail.send; Microsoft:Mail.Send), saving drafts in your Gmail (Google:gmail.drafts.create), and your basic profile (Microsoft: User.Read).

Calendar. While the app is open, Mrtn reads the events around now (title, time, place, description, meeting link, organiser and attendees with their names, email addresses and replies), the same way it reads your Mac's calendar: to name your calls, know who is on them and prepare briefs. The events pass through our servers on their way to your Mac; our servers do not keep them. The meeting a call belongs to (its title and the people on it) is kept with that call's results. To write a brief, the meeting's details go to our AI model provider, which does not use them to train its models.

Email. Mrtn never reads your mailbox. It sends an email only when you review a follow-up and press Send; it then appears in your Sent folder like any other. Or, when you press Save as draft, it puts the follow-up in your Gmail drafts for you to finish there: it can create drafts, not read or change the ones you have. We do not keep the text: your organisation's audit log records that you sent an email or saved a draft from a call, through which provider and for how many people, without the addresses or the content. "Open as draft" only opens your provider's own compose window, and needs no access at all.

Google user data. Mrtn's use and transfer to any other app of information received from Google APIs will adhere to theGoogle API Services User Data Policy, including the Limited Use requirements. We use it only to provide the features above, which you see and use in Mrtn. We do not use it for advertising, do not sell it, and do not use it to develop, improve or train AI or machine-learning models. Nobody at StarApps reads it, unless you ask us to for support, it is needed for security or abuse investigations, or the law requires it. The same applies to the data Mrtn receives from Microsoft.

The access itself (the tokens your provider issues) is kept by Mrtn on our servers, encrypted, never on your Mac, and only our servers use it, for the features above. Unlink the account in Integrations at any time: Mrtn stops using it straight away, and for Google its access is revoked. For Microsoft, you can also remove Mrtn from your account's apps on Microsoft's side. The link is deleted with your Mrtn account.

Apps you connect to Mrtn

You can connect an AI app, such as Claude or ChatGPT, to your Mrtn account. It signs in as you and gets only what you could see in Mrtn yourself (your calls, the ones your team shared with you, the playbooks and documents shared with your team), and changes only what you could. That means it can read every call you can see, including what the people on those calls said and their names and email addresses, without asking you each time. What it reads goes to that app's provider, and from then on its own terms and privacy policy apply: you choose it, it isn't one of our providers. What a connected app opens or changes is in your organisation's audit log. Your admin can turn connected apps off for your organisation, and see or revoke them. Disconnecting the app on its side only deletes its own copy of the access; to cut it off, revoke it in Mrtn, or ask your admin or us.

Product analytics

To see how Mrtn is used and to find errors, the app and our servers send events made of ids, counts and codes: your user and organisation ids, your organisation's name, settings, durations, error codes, the app's version. Never call content, and never a person's name or email address. The web dashboard sends the same kind of events (pages opened, load times, errors), and records sessions to show us how its pages are used: the layout and the clicks, with every text, input and image masked out, so a recording never shows a call, a name or anything typed. It stores nothing in your browser for this. Legal basis: our legitimate interest in a working, improving product.

Support diagnostics

Only when your organisation turns on support mode, for a limited time agreed with us, the app uploads its logs and call events so we can find a problem. This is visible in the app's settings, and the uploads are deleted after 30 days.

Our website

The website uses cookieless analytics: no cookies and nothing stored in your browser. Visits are counted with a hash that changes every day, so nobody is recognised or identified, and IP addresses are not kept. To see how the pages are used, it also collects, anonymously and without cookies, where on a page people click and move the mouse and how far they scroll; never what they type. If you join the early-access list, we keep the email address you give us, and your name and company if you add them, with where you came from (the campaign or referring site, and a country guessed from your connection), to invite you when there is room. Legal basis: your consent, which you can withdraw at any time.

Transcription always runs in the EU. Where data goes to the United States, the transfer is covered by the European Commission's standard contractual clauses, or by the provider's certification under the EU-US Data Privacy Framework.

How long we keep it

  • Call results: for your organisation's retention period, which its admins set (one year unless they change it), and then deleted automatically. Your organisation can delete calls sooner.
  • Recordings: on your Mac, until you or Mrtn delete them.
  • Team Library documents: until you remove them from your Library, or an admin of your organisation deletes them. When you stop sharing one, only you can see it, until you remove it; when you leave your organisation, the ones you no longer shared are deleted.
  • Support diagnostics: 30 days.
  • Your account: as long as you have one. When your organisation removes you, you are signed out right away; ask your organisation or us and we delete your account. The calls you recorded belong to your organisation and follow its retention period.
  • Analytics events: for the retention period of our analytics plan. They contain no call content, and no person's name or email address.
  • Early-access list: until you ask us to remove you, or the list is no longer needed.
  • Unsubscribes from product updates: as long as we send them, so you stay off the list.

Billing records, once billing starts, are kept as long as accounting law requires.

Who processes it for us

We use these companies to run Mrtn. Each only processes data to provide its part of the service, under a data processing agreement with us. We tell our customers before we add or replace one.

We do not sell your data, and we do not share it with anyone else unless the law requires us to.

How we protect it

Data is encrypted on its way between your Mac, our servers and our providers. Every request is tied to a signed-in person and their organisation, so one organisation's data is never served to another. On your Mac, sign-in tokens are kept in the macOS Keychain. Only the people at StarApps who run the service can reach its data, and only when they need to.

Your rights

Under the GDPR you can ask us to:

  • show you the personal data we hold about you, and give you a copy;
  • correct it, or delete it;
  • limit how we use it, or object to a use based on our legitimate interest;
  • hand it over in a format another service can read;
  • stop using it where you gave your consent (this doesn't undo what happened before).

Write to hello@mrtn.tech. We answer within a month and may ask you to confirm who you are. For call data we act on your organisation's instructions, so we pass your request on to it and help it find, export or erase a person's data across its calls. You can also complain to the Belgian Data Protection Authority (dataprotectionauthority.be) or the authority in your own country.

Changes

When this policy changes, we update the date at the top. If a change matters for how your data is used, we tell our customers before it applies.
